How to Compare Cutlery Quotes on the Same Specification

Two prices for a flatware set are comparable only after the set, component specifications, packing and delivery scope match. A lower number may refer to a different steel option, fewer pieces, an unprinted box or a different handover point. For an importer or wholesale buyer, the first decision is therefore which offer meets the same purchasing brief, not which unit price is smallest.
This worksheet begins where a cutlery request for quotation ends: you have replies, but they may not cover the same order. It is an editorial comparison method, not a Yumingxing quotation or a freight estimate.
Lock the comparison unit
Define one sellable unit before moving any numbers into a comparison sheet. As a concrete catalogue reference, Yumingxing lists a Portuguese-style five-piece flatware set comprising a dinner knife, dinner fork, dinner spoon, salad/dessert fork and dessert spoon. Its catalogue mentions 410, 430 and 304 steel options, while asking buyers to confirm the grade for each component. Those options must not be treated as a promise that every piece in a proposed order uses the same grade.
For a five-piece retail set, record the exact quantity of each piece, finish, logo requirement, retail packaging and sets per shipping carton. If one reply prices loose pieces and another prices packed sets, request a revised offer. Converting both to a “price per set” without accounting for packing and missing components hides the difference.
Compare four boundaries, not one price
| Boundary | Put on the same line in every reply | If it is missing |
|---|---|---|
| Product | Model or drawing revision; each component’s material, dimensions and finish; set composition | Ask for a component-level specification and mark the offer conditional. |
| Order and packing | Sets by variant; logo or artwork revision; pieces per retail pack; retail packs per carton; carton dimensions and gross weight | Request a packing breakdown. The retail-box and shipping-carton guide explains the two levels. |
| Delivery and charges | Currency; named delivery place; agreed Incoterms® rule and version; charges included and excluded; quotation validity | Ask the seller to state the named place and rule, then obtain a matching forwarder estimate for costs outside the offer. |
| Approval and timing | Sample route and cost; what the sample approves; production lead-time starting point; inspection arrangement; documents promised for this product | Keep the timing and approval assumptions separate until confirmed in writing. |
Incoterms® allocate delivery tasks, costs and risks between buyer and seller, but they do not define the goods, contract price, payment timing or every document the importer needs. The International Trade Administration’s Incoterms® overview explains these limits. Write the chosen rule, named place and version in the comparison. A bare “FOB” or “DAP” line leaves a material part of the delivery boundary unspecified. The ITA shipping guide also recommends comparing shipping providers and accounting for packing, documentation and insurance. Neither source supplies a freight price for this flatware order.
Use a normalization sheet before ranking offers
Copy one row per supplier and product variant. Do not fill a blank with an assumption about what the factory “usually” includes.

For an internal landed-cost comparison, start with the quoted amount for the same number of conforming packed sets. Add only the buyer-paid items supported by current written estimates, such as the relevant freight, handling and insurance under the chosen delivery arrangement. Record import taxes or duties only after your customs specialist confirms classification and applicable conditions for the destination. Divide the resulting estimated total by the number of sellable sets. Keep assumptions and dates beside the calculation. This is a budgeting method, not a customs ruling, an actual freight quote or a guarantee of arrival cost.
If an offer differs in material, packaging or delivery scope, label it not yet comparable. A revision request is more useful than a false ranking. Once the boundaries match, compare price alongside sample evidence, the agreed quality checks and the supplier’s ability to document the order. Preserve the original quotation and revision history so that the selected offer can be traced to the approved specification.
To request a comparable response from Yumingxing, send the five-piece model, target market, number of sets, required component materials, finish, packing and preferred delivery boundary through the enquiry page. Ask for the missing fields to be confirmed in writing before you compare the offer with alternatives.
